New Google Workspace Update Enhances File Sharing and Collaboration
Avoiding accidental file-sharing errors with the wrong contacts or colleagues may soon be easier due to a new Google Workspace update. This update modifies how users contact collaborators on Google Workspace files, making it less likely to share items with unintended people.
The update enhances user awareness by adding a new icon that shows users who they have already shared a document or folder with and allows them to email fellow collaborators directly.
Simplified Google Workspace File Sharing
According to a Google Workspace updates blog post, the update builds on existing features designed to simplify online collaboration. Users already possess the functionality to "notify" others when viewing, commenting on, or editing a file. Now, file owners and editors can quickly email collaborators—an advantage for addressing updates or asking specific questions.
In the "Share" pop-up menu, a new email icon now appears next to the "people with access" header, allowing users to choose recipients and compose a custom message.
This feature is currently rolling out and is accessible to Google Workspace customers, Google Workspace Individual subscribers, and personal Google account users.
The update is part of a broader series of recent changes aimed at enhancing the Google Workspace user experience. This includes the integration of Gemini AI tools to help users draft and write emails on mobile devices, with the "Help me write" feature now including a "Polish" option for refining drafts or notes.
Recently, Google also announced the general availability of Gemini as a new side panel across widely-used applications like Google Docs, Sheets, Slides, and Drive, although only subscribers to paid Google Workspace plans can access it for now.
